The Contract Administrator supports the efforts of Liebherr’s domestic and international sales teams by performing the duties listed below.
Responsibilities
- Responds to Requests for Quotes (RFQ’s) related to the supply of Liebherr’s mining products.
- Coordinates activities required for the development of RFQ responses.
- Requests labor and supply quotations from key suppliers to support Liebherr’s MARC, cost cap, and commercial proposals.
- Reviews and negotiates terms and conditions of proposals received from key suppliers in support of RFQ’s and MARC’s.
- Assists with the administration of existing contracts including the monthly calculation of Key Performance Indicators (KPI’s) to determine compliance with contractual obligations.
- Assists with the development of Authorization To Manufacture (ATMs) which define the equipment specifications that fulfill customer requirements.
- Organizes the Authorization To Manufacture (ATM) review and approval process.
- Creates and manages demand for direct ship purchased material in accordance with contractual requirements.
- Organizes and ensures timely and accurate invoicing in accordance with contractual terms.
- Assists with stock cube management of finished goods.
- Analyzes price proposals, specifications, and other forms of data to determine major cost benefits, impacts, and overall accuracy in pricing.
- Maintains key documents such as the Price List, Project List, Sales Forecast, standard offer forms, and performance guarantee documents.
- Assists the Sales Administration and Quality Assurance departments with implementation activities involving ISO 9001.
- Acts as the Business Management System Key User.
- Administers the Sales SharePoint Site.
- Liaises with Accounting and Controlling for Cash flow and Sales Forecast Budgeting.
- Acts as the Internal Controls (ICS) representative for Sales.
- Conducts annual ICS reviews, recommends process changes in accordance with internal control requirements, and participates in ICS audits as required.
Competencies
- Education and Experience: Bachelor's degree (B. A.) from four-year College or University in a Business related discipline with two to four years related experience and/or training; or equivalent combination of education and experience.
- Proficient with Microsoft Office Suite applications.
- Ability to comprehend, writes complex formulas, graph and analyze data in Excel.
- Ability to calculate figures and amounts including interest, discounts, commissions, proportions, percentages.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, governmental regulations, and contractual language.
- Ability to write reports, business correspondence, and procedural information.
- Possess the ability to effectively present information and respond to questions from groups, managers, clients, customers, and the general public.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to work well in group problem solving situations and on an individual basis.
- Possess the proper skills to speak clearly and persuasively in positive or negative situations.
- Ability to maintain a valid driver’s license and passport.Interface with and travel to customer or supplier sites either nationally and internationally up to 20% of the time.
